About the Role

Step into the world of high-end photography and creativity. We're hiring a Studio Manager & Executive Assistant to work closely with a renowned photographer and support his thriving studio, Virtually Here Studios. This is more than just admin work; it’s about being at the heart of every project, making things happen behind the scenes, and ensuring the magic flows smoothly from concept to delivery.

What You'll Be Doing:

  • Be the First Point of Contact:
    Quickly and professionally respond to client inquiries about shoot availability, pricing, and services. You’ll be the studio’s voice (friendly, responsive, and clear).
  • Keep Projects on Track:
    Schedule shoots, send calendar invites, and make sure every detail is captured—from client needs to project goals using simple tools like spreadsheets and email.
  • Handle Estimates & Invoices:
    Prepare cost estimates using ready-made templates, send them to clients for approval, and later turn them into invoices. Follow up on payments and keep everything organized using shared folders.
  • Support Creative Delivery:
    Help manage the entire lifecycle of a project from the moment a client books, all the way to final delivery. Track progress, handle questions, and make sure every step runs smoothly.
  • Manage Copyright Submissions:
    After a shoot, you'll help organize, resize, and submit images to the U.S. Copyright Office. Training will be provided!
  • Bring the Studio to Life Online:
    Help schedule and post on social media, answer messages, and research potential new clients like designers, architects, influencers, and agencies.

Who We're Looking For:

  • Someone with at least 2 years of experience in admin, coordination, or client support roles.
  • A natural organizer who thrives in fast-paced, creative settings.
  • Strong communication skills—you can write clear, friendly emails and handle client conversations confidently.
  • Tech-savvy with tools like Google Sheets, Dropbox, and online invoicing systems (we’ll train you on everything else!)
  • Comfortable working independently and managing your own time.
  • Bonus if you’ve worked with creatives or in the photography or design industry before.

Nice-to-Haves (But Not Required):

  • Experience posting on Instagram or TikTok for brands.
  • An eye for aesthetics or design.
  • Experience dealing with freelancers, clients, or content creators.
